Contracts


The purpose of a Contract is to protect all parties involved in a specific event or function.

The parties referred to are:

  • the Client
  • the Vendors
  • the Venue and
  • the Event Planner
A Contract helps eliminate miscommunication, and provides for options, in the event that and agreed upon detail, is not performed.

Creativity is important

Creativity is essential when planning an event.  That creativity allows an  idea  to be transformed into something tangible, from developing a unique theme for a party to coming up with an affordable decorating solution that meets a small budget. 
At times, inevitable problems that arise during even the most diligently, professionally planned events. In this scenario, creativity takes shape in the form of problem-solving. 
Being able to think creatively to develop solutions to problems can positively impact the success of your event.



An Event Planner must be able to Multitask

Success lies in the ability to prioritize and focus on each task in that priority order without becoming distracted by other things that need tending to or becoming overwhelmed by the numerous things that need your attention. Staying calm, focused and flexible are attributes of the successful multitask-er.
There are numerous tasks being managed at various stages of the event planning process, and that may be for just one event. Add multiple events in the planning stages all at once, and the result is a juggling act. 
A Successful event planner needS to know how to effectively multitask and keep many aspects of the event moving along simultaneously without any of those tasks falling by the wayside.


An Event Planner must be an Excellent Communicator


Being able to effectively communicate thoughts and ideas is a very practical skill that is used on a day-to-day basis by event planners of all experience levels.
In event planning, miscommunication can result in numerous problems for both the event planner and the client, and a simple misunderstanding can have catastrophic results.
The art of effective communication skills are  used in planning events in a variety of ways, here are a few examples:
  Verbal communication:
  • The ability to explain the scope and purpose of an event
  • The ability to effectively communicating your ideas to a supervisor, client or vendor
  • Being able to skillfully negotiate hotel rates, contract details, or extras from a vendor
Written communication:

  • writing event proposals for a prospective client
  • writing contracts with clients and vendors
  • creating materials to market your firm
  • drafting thank you notes to guest speakers and VIPs


An Event Planner should be Personable

There is one thing that all events have in common - People. 
In the process of planning the event, we have to work with, and interact with - People,  
It is important therefore that successful Event Planners be personable, good conversationalist and excellent listeners, as this is a very social profession.
Understanding people and enjoying talking to them are part of the job.
Being personable is a must when tackling one of these common event planning tasks:
  • Meeting with vendors
  • Pitching your event ideas to a prospective client
  • Networking anytime and anywhere
  • Working your event and interacting with guests and workers
  • Supervising event staff

No one wants to work with or assist someone who is difficult to talk to, hard to understand or rude and unprofessional in any way, and therefore it is important to know how to be able to connect with different personalities.


The Event Planner must be highly organized

The success in Event Planning is in details. Monitoring multiple vendors, numerous tasks and constantly changing to- do- lists, while keeping your client happy, can be a  daunting and challenging task.  
Some Events depending on their nature, take more than a year to plan for e.g Annual Conferences, and as such require the Planner(s) to stay organized over the long haul.
There are event Planning tools which can aid in accomplishing this task such as :
  • Event Planning Checklists that are customized for each event 
  • Software that tracks registration 
  • templates for forms and spreadsheets.

Advantages of taking your Rental Items from one (1) Place

On many occasions clients  take their rental items from different  suppliers, and in many cases the price difference is negligible.

Experience would show that   its better to take your items from one place, as it eases up the pick up, before the event, and lessens the hassle of items to be sorted and returned to different places after the event.

can afford, and thus cause frustration to the decorators and event coordinators.

When planning an event, like Birthday Party,  Anniversary Celebration or a Wedding, it is advisable to start putting funds away/saving towards the event, put funds in an interest bearing account, in order to avoid as much as possible having to take a loan to fund it.   If you are having alcohol at your event you can start purchasing in small amounts as this will drastically reduce your cost as you go along.
It is also advisable, as much as is possible to avoid holding your event around Christmas time, as the price of food is elevated, items are scarce, and dumping is done by businessmen.
